Terms and Conditions



‘You’ or ‘Your’ – The person hiring the vehicle who has made the booking and the payment for hire and any other designated driver

‘Us’, ‘Our’ or ‘We’ – Yorkshire Wolds Motorhome Hire

‘Vehicle’ – The motorhome that we have allocated for you to hire



Yorkshire Wolds Motorhome Hire aims to consistently deliver a high-quality hire service to all customers.  This means that all motorhomes are ‘hire-ready’ and clean when you collect them.  Each customer expects and deserves exactly the same standard in hire service, therefore by reading, understanding and complying with our Terms & Conditions you can help to ensure every hire is as great as yours and by making a booking and paying a deposit you are entering into a contract with us and agree to abide by our Terms and Conditions of booking, insurance and hire.



Booking can be made by telephone on 01377 821002/07961 539599 or through our website.  Once a booking form has been submitted, subject to acceptance a £250 deposit, by bank transfer, will be required to secure the

booking.  The balance of the hire cost is due 6 weeks prior to departure date.



You must arrive between 3:00pm – 5:00pm for your vehicle collection unless by prior arrangement.  Please be on time for your vehicle collection as vehicles are despatched on an appointment schedule.  Arriving early does not necessarily mean that we can facilitate early departure. Please allow 1½ hours for your collection, during which time we will demonstrate proper use of the vehicle, vehicle systems and equipment.

The hirer acknowledges delivery of the clean vehicle, free from any defect or damage and complete other than as specified by us on the inventory/damage declaration form.


Security Deposit

A security deposit bond of £800 will be required on the collection date, this will be returned to you within 3 working days of returning the vehicle to us, subject to a vehicle inspection. Any repairs, replacement items or cleaning costs will be charged against this. The following will be required on collection:


1. A valid UK driving licence (card or paper).

2. Two proofs of ID, such as utility bills, bank statements etc. at present address up to 90 days old.

3. We will also need to run a further DVLA check. Please have your national insurance number or check code ready. Check codes can be obtained prior to commencement of hire from the DVLA web site and is valid for 21 days.

Yorkshire Wolds Motorhome Hire reserves the right to refuse the handover of the vehicle if drivers/hirer(s) do not meet insurance requirements in the driver/hirer endorsement section. In such a case, all hire charges paid will not be refunded with no further liability to Yorkshire Wolds Motorhome Hire.



The vehicle may only be driven by the Designated Driver(s) specified in the Hire Agreement/Booking Form. If one driver only is specified and this person is unable to drive, you must contact us to insure another driver (except for emergency or recovery services drivers). Drivers must be over 25 and under 75 years of age and have held a full driving licence valid for the relevant vehicle for at least two years prior to the commencement of hire. Driver/hirer insurance endorsements are found in the insurance section. Drivers who passed their driving test after 1996 are allowed to drive all our motorhomes as they are all under 3500kg. Drivers from EU, US, Canada, Australia, NZ & RSA, who have an unendorsed driving licence are subject to Insurance approval. All drivers must drive the vehicle with due care for the vehicle, their passengers and other road users and shall not carry more passengers than the seating capacity allows (seats with fitted seatbelts).  The use and fitting of booster type seats is solely your responsibility and we accept no liability whatsoever for defective child or baby seats and/or incorrect fitting by you (for further information, visit www.gov.uk). The vehicle shall not be used to tow or push another vehicle, trailer or object,or allow the vehicle to be overloaded or loads not properly secured. The vehicle shall only be used on made up roads only shall not be used to drive off road, on unsurfaced roads, on roads unsuitable for the vehicle, or used on any track, test circuit or contest or for any other purpose, such as racing, rallying, reliability or speed trials. Particular care must be taken when entering/exiting gateways, negotiating around buildings and steep inclines (e.g. roll-on/roll-off ferries, where there is risk of grounding the rear). It must not be driven through deep fords, or salt water or used on restricted areas of airports, airfields or military bases. Further driver/hirer endorsements and Insurance details are found in the Insurance section.



The motorhome should be returned to our premises between 8:30am-11:00am unless by prior arrangement. It is imperative that you return the vehicle at the date and time specified in your Hire Agreement. You must contact us immediately if you are in doubt about the time of your return. If you are late and we are not informed, your insurance will expire, leaving you uninsured, liable to prosecution and wholly responsible for any costs incurred. Late returns will be surcharged at £50.00 per hour or part thereof. By arrangement, we can take a vehicle in at an earlier time than specified during business hours 8:30am - 5:00pm Mon-Fri, however no refund of unused hire will be made.   On arrival back to our premices please allow 1½ hours for unloading the vehicle, our inspection and signoff. If the vehicle is returned in good condition, whole and undamaged, with a clean, undamaged interior, cooker, oven & clean toilet with empty waste water tank and chemical toilet tank and no other excesses to be charged, the deposit will be refunded within 3 days.  Failure to return the vehicle in a clean condition (particularly the cooker, oven & chemical toilet) will incur a £50.00 valeting charge, a charge of £50.00 will be made for any soiled or unemptied chemical toilet tanks and £25 for any unemptied waste water tanks. Should the condition of the vehicle be otherwise; then repairs, breakages, replacements and/or cleaning costs will be charged against the deposit. If the hirer is found to have damaged the vehicle by negligence (i.e. no other person or vehicle is involved) the hirer will be responsible for full rectification costs which will be charged against the deposit. Front and rear bumpers, overcab mouldings, roof lights, windows, wing mirrors and external doors are typical components prone to damage by negligence.



You are wholly responsible for any costs and/or offences of any kind which may occur while the vehicle is in your care, including (but not limited to) parking tickets, congestion charges, speeding fines and road traffic violations. Any fines or charges incurred during the Hire period which arrive after return of the vehicle, will be passed on to you.



All of our hire vehicles have tracker systems that have European wide coverage. Whilst the vehicle is in your care, you are responsible for ensuring that all reasonable precautions are taken against damage and theft to the vehicle.  When you leave the vehicle, ensure all windows and roof lights are closed, doors are locked and you have the keys.  Do not give the keys to anyone else or permit unauthorised persons to drive the vehicle.  Your insurance does not cover theft of or from the vehicle if:

• The vehicle has been unlocked;

• The keys have been left in it;

• Window(s) and or door(s) have been left open;

• You have allowed someone else to drive it and they take it away.

Do not leave valuables on display, or leave the vehicle in a vulnerable position such as, on a junction or street corner, poorly lit or unsuitable areas.  Taking basic precautions will help reduce the risk of unwelcome attention.

Insurance cover is for the vehicle and equipment only. Personal possessions are not covered; hirers are advised to take out holiday insurance.


Accidents - Responsibilities, Liabilities and Charges

If the motorhome sustains damage at any time during your hire, please inform us straight away. If we know about it we can start to make arrangements for repair before the vehicle returns, rather than having no time to effect repairs prior to the next hire, potentially leaving us in a position of having to cancel or compensate another customer’s holiday. Wilful damage, neglect of care or accidental damage which is not part of a road accident (e.g. a tin falling out of a cupboard and puncturing a table or worktop), is not covered by insurance. For valid claims, the Insurance Excess (the amount of any claim that you must pay) is £800.00. In the unfortunate event of accident, please:

1) Notify Yorkshire Wolds Motorhome Hire immediately.

2) A complete accident report must be made out, this will include; names, addresses and vehicle information such as make, model, colour and registration number of all third parties and insurance details.  We recommend the use of photographic evidence. We will not be responsible for any subsequent loss or expense due to an accident and will not be under any liability for third party claims or damages. In the event of a hired vehicle being immobilised and/or unsafe to use following an accident a replacement vehicle will not be provided and no refund will be given on your hire. The driver is responsible for the roadworthiness of the vehicle and the safety of the passengers during the hire period.  Each vehicle is checked prior to despatch you are required to check the condition of tyres, monitor oil, engine coolant and windscreen washer fluid levels on a daily basis, during the period of hire.  Please contact us in the event of any issues.


Base Vehicle (Chassis) Breakdown

In the unlikely event of a vehicle breakdown full roadside assistance is available, please contact us directly – details will be provided in each vehicle.  Please also advise us so that we can monitor and assist as necessary. In the event of breakdown, we will try and provide a replacement vehicle if available, however if this is not possible and the hire of the vehicle is terminated early we will only be responsible for the period of time lost and a pro-rata refund made.  We accept no liability for replacement vehicle costs, travel or accommodation costs or any other consequential loss claims arising from motorhome breakdown.


Habitation Equipment or Accessory Breakdown

Breakdown of an item of on-board equipment does not render the vehicle unusable or necessitate in the curtailment of your holiday. In the first instance, please contact us so that we may establish whether the problem can be resolved during the hire period. This may mean a visit to a motorhome dealership or repair centre. Reasonable agreed costs up to the value of £50.00 including VAT supported by a VAT receipt, will be reimbursed. Please do not attempt DIY repairs.


Bed Linen/Kitchen Equipment & Outdoor Equipment

Please ensure that you bring your own bed linen, blankets, pillows, towels etc.  Bedding and bed linen can be provided for an extra £15 per person.



At least one full gas bottle will be supplied with the vehicle (Calor Propane 6kg).  In most cases two bottles will be fitted, one full, the other partially full (this one will be connected).  If you use the partially full bottle, connect to the other bottle.  If you use the other full bottle, you must purchase another full bottle from any Calor outlet – this is not reimbursed.



All of our vehicles run on diesel and are despatched with a full tank of fuel.  The vehicle must also be returned with a full tank of fuel.  Any fuel required on return will be charged at the prevailing rate per litre plus a £25 refuelling charge, which will also mean a delay in completion and signoff.



A mileage limit of 1000 miles per week  applies.  Mileage over this will be charged at a rate of 25 pence per mile.



Occasionally circumstances outside our control can result in us having to substitute an alternative vehicle from our fleet. In this event, the substitute vehicle will be of comparable specification, with the correct number of berths and seatbelts to meet your needs. Whilst we will make every effort to ensure that the reserved motorhome is available, if due to circumstances beyond our control this is not possible and an alternative suitable motorhome is not available, our liability is strictly limited to the refunds of all monies paid by you.


Car Parking

Free off road car parking, at owner’s risk, for the duration of your holiday.



Smoking is not permitted in any of our vehicles.  Any evidence of smoking will result in a £100 cleaning charge.



Some animals are permitted in certain vehicles by prior arrangement. Any damage incurred will be charged to the hirer in full.



The Vehicle you hire belongs to Yorkshire Wolds Motorhome Hire, Mill Farm, Middleton Road, North Dalton, YO25 9LJ.  You must not attempt to sell, rehire, or make representation of the vehicle to any other party.



Once a vehicle has been reserved for you it cannot be hired to someone else for the same period. As the commencement date of hire approaches, the likelihood of us being able to rebook the vehicle, should you cancel, reduces. Therefore, the following cancellation charges apply:

More than 6 weeks prior to commencement of hire – £250 deposit

More than 4 weeks but less than 6 weeks 50% of full hire cost

More than 2 weeks but less than 4 weeks 75% of full hire cost

Less than 2 weeks 100% of full hire cost

We will endeavour to re hire the vehicle. If successful the amount paid will be refunded less an administrative charge of £50.  Hirers are advised to obtain their own holiday insurance to safeguard against such eventualities.  We aim to be fair and flexible in all circumstances so please call us to discuss.



These Terms & Conditions may be amended at any time without notice.  If an amendment is made prior to the date of your hire, you will be issued with the revised Terms & Conditions.



Fully comprehensive insurance for the use in the UK is included within the hire charge. It is the responsibility of you to inform Yorkshire Wolds Motorhome Hire of any intention to take the vehicle abroad.  Additional insurance may be added to your hire agreement and will extend the use of the vehicle in member countries of the European Union, Andorra. Croatia, Iceland, Norway and Switzerland.  Insurance cover does not apply if the vehicle is taken to a country who is not a member of the European Union, Andorra, Croatia, Iceland, Norway and Switzerland, for which an additional insurance premium may be charged. Insurance is only for Social Domestic and Pleasure Purposes, the driver/hirer must not use the vehicle for the carriage of passengers or goods for hire and reward or use in connection with the Motor Trade.  The carrying hazardous goods is prohibited in all vehicles.

The insurance is only valid for the period of the hire, thus any late return would automatically constitute a traffic offence under the Road Traffic Act. Invalid insurance means the driver and main hirer become personally liable for any accident damage to the motorhome, third party property and third party personal injuries.

Yorkshire Wolds Motorhome Hire will be not liable or cover claims for any accident, injury, loss or damage caused directly or indirectly by:

1) War, invasion, act of foreign enemy, hostilities (whether war is declared or not), civil unrest, revolution

2) Act of terrorism, riot or similar event occurring elsewhere than in England, Scotland, Wales, the Isle of Man, or the Channel Islands

3) Earthquake

4) Ionising radiations or contamination from nuclear waste or from the burning or explosion of nuclear fuel

5) The radioactive, toxic, explosive or other dangerous properties of any nuclear installation, reactor, or other nuclear assembly or its component part

6) Any weapon or device using atomic or nuclear fission or fusion or radioactive force or matter

7) Pressure waves caused by aircraft and other flying objects or

8) Carrying any hazardous goods.

9) Any liability, loss or damage caused by explosion, sparks or ashes from the insured vehicle

10) Any liability, loss or damage that happens outside the geographical limits mentioned above

11) Any proceedings brought against you outside the geographical limits, unless they result from the insured vehicle in a country which we have agreed to extend our insurance to cover

12) Any liability, injury, loss or damage caused directly or indirectly by:

• Pollution or contamination

Unless the pollution or contamination is directly caused by one incident at a specific time and place during the period of insurance and is:

• Sudden

• Identifiable

• Not deliberate and

• Unexpected

We will consider the pollution or contamination to have happened at the time the incident took place.


Hirer/Driver Endorsement

1) The hirer and any other permitted driver shall verify their identity and permanent address by means other than relying solely on the information contained in the their  driving licence and that such person is not amongst the excluded persons enumerated below.

2) Two forms of ID must be obtained i.e.  Utility Bill or Bank Statement (no more than 90 days old) and Driving Licence.

3) The insured vehicle shall not be let out on hire or driver by:-

a) Hirers/Drivers under 25 or over 70 years of age

b) Persons who have been convicted of an offence in connection with driving a motor vehicle or motorcycle and/or have had their driving licence endorsed or suspended or more than 6 penalty points imposed.  Parking and not more than two speeding offences in the last 3 years may be ignored.  ‘Spent’ convictions, covered by the Rehabilitation of Offenders Act 1974 may be disregarded.

c) Persons who have any mental or physical defect or infirmity or suffers from fits, diabetes or and heart complaint.

d) Persons who have had their insurance declined and/or renewal refused and/or special insurance terms imposed as a result of claims experience and/or have had their insurance cover cancelled by a motor insurer.

e) Persons engaged wholly or partly in professional entertainment or professional sports persons.

f) Jockeys and persons connected with racing of any sport.

g) Persons who, whilst driving, have been involved in more than one accident during the past 3 years.

h) Foreign Service Personnel other than persons born in the United Kingdom.

4) The insured vehicle shall be driven only by the Hirer or other permitted driver who has completed and signed a Hirer’s Proposal Form (by each hirer or other permitted driver) immediately prior to any hiring.  The form must be fully completed by the Hirer or other permitted driver in all respects

5) Yorkshire Wolds Motorhome Hire shall be considered the agent for the Hirer or other permitted driver for all purposes in connection with this insurance, but under no circumstances shall the hirer or other permitted driver be considered the agent for Yorkshire Wolds Motorhome Hire.



I have read, understood, agree to adhere and be bound to the terms and conditions of Yorkshire Wolds Motorhome Hire’s motorhome hire and that all information I have provided is accurate.
